CPS set of procedures for Division 08 that it follows for every Quantity Takeoff we perform on a commercial construction project.

Each person will hand enter the information from the Hardware Schedule into an MS Excel Spreadsheet. We have tried using OCR software to accomplish this task but the usual format that this information is usually in within the specification prohibits this from being accomplished. It is this mind-numbing transferring of information from PDF to an MS Excel spreadsheet that is most hated by estimators across the industry. We do that for you so your estimators can focus on other aspects of the project.

Two people are assigned to every project CPS takes on. They each work independently transferring the PDF information for the Door and Hardware Schedules in the project blueprints and specifications into separate MS Excel data tables.

After the information has been entered into the MS Excel file each column is then sorted which will highlight any out of place characters or mistakes that may have happened during the transcribing of the information. Once any of these discrepancies have been taken care of then the two hardware schedule tables are compared to each other in MS Excel which has this capability built into its software. If there are any discrepancies, then we refer back to the PDF specification table for clarification and the correct information is entered into the data table.

For the PDF Door Schedule from the plan pages, we use an industry leading OCR program that allows that information to be uploaded directly in a MS Excel worksheet. As before each person of this two-person team works independently transferring this information. Once the door schedule has been uploaded into the Excel program, we place that data table over the original PDF Door schedule and compare the information column to column, cell to cell to ensure that the OCR program transcribed the information correctly. Even though this step would verify that the information has been transferred correctly we still do the MS Excel table comparison from each CPS team member. Any cell that may be questionable will have it compared to the original PDF Door Schedule, and the correct information will be entered into the database.
